TOPS Statistics and Reporting (TSAR) Daily Email Report
The TSAR daily snapshot email is sent every day to the email address supplied for the company. The email address list is located in the TOPS Company Settings section of the My Account Page.
The email is divided into three groups:
- Daily totals
- Month‐to‐date totals
- Average daily totals
Daily totals
These are totals for yesterday, midnight to midnight, local time. The date displayed is the day before the statistics are compiled.
Month‐to‐date totals
These are totals starting on the first day of the current month and ending at midnight yesterday, local time. The date displayed is the first day of the month.
Average daily totals
These are average totals for the last 30 days, spanning months if necessary. The average is calculated by taking the total for the 30 days and dividing by 30. The date displayed is the first day of the 30‐day period, which ends at midnight yesterday, local time.
Note ‐ These categories of statistics are calculated at approximately 12:15 AM local time and emailed shortly thereafter. The “snapshot” is a quick picture of operations at a given point in time and may not reflect numbers pulled at a later time from system reports. Following are explanations of the different numbers.
Calls Taken
This number includes all calls taken during the period except *Service Patrol calls, no matter what status or disposition is involved.
Heavy Duty, Light Duty, Maintenance & Service, Specialized Transport, Vehicle Transport
These numbers include all calls taken during the period except *Service Patrol calls, broken down by the revenue type associated with the Tow Type in the call. These numbers will add up to Calls Taken.

Police Calls
This number includes all calls taken during the period, except *Service Patrol calls, where the Control Customer is a “police” type customer. The Control Customer is the customer that initiated the call, not the final customer.
Motor Club Calls Taken
This number includes all calls taken during the period, except *Service Patrol calls, where the Control Customer has a Motor Club Type associated with it.
Calls Charged Off
This number includes all calls confirmed during the period, except *Service Patrol calls, where the No Charge flag is checked and the vehicle is not Auctioned, Scrapped, or Sold.
Late Calls
This number includes all calls, except *Service Patrol calls, where an Appointment or ETA exists and falls within the time period. For a call to be late, the earliest Arrived time of any dispatch associated with the call must be after the Appointment or ETA.
Price of Completed Calls
This number is the sum of all existing pricing items for all calls, except *Service Patrol calls, where the Date Completed falls within the time period. Since these calls may not be confirmed, this number is subject to change.
Completed Calls
This number includes all calls, except *Service Patrol calls, where the Date Completed falls within the time period.
Incomplete Calls
This number includes all calls taken during the period, except *Service Patrol calls, that are have not been completed, unless there is an Appointment or ETA in the future. This number cannot be calculated for, and is left out of, the Average Daily Total section.
Cancelled Calls
This number includes all calls cancelled during the period, except *Service Patrol calls.
Confirmed Calls
This number includes all calls confirmed during the period, except *Service Patrol calls and No Charge calls.
Price of Confirmed Calls
This number is the sum of the confirmed price of all calls confirmed during the period, except *Service Patrol calls and No Charge calls. The confirmed price is the total of the call for regular tows, or the proceeds total + any tow payments for a vehicle that has been auctioned or scrapped or sold.
Average Call Price
This number is the average of the confirmed price of all calls confirmed during the period, except *Service Patrol calls and No Charge calls. In the Average Daily Total section, it is the average price of calls confirmed during the past 30 days, not a daily average.
Vehicles Inventoried
This number includes all calls that have an active Inventory record where the Date In falls within the period.
Vehicles Released
This number includes all calls that have an active Inventory record where the Date Out falls within the period.
Vehicles in Inventory
This number includes all calls that have an active Inventory record with no Date Out. It is meaningless for, and left out of, the Month‐to‐Date Totals and Average Daily Totals.
Future Appointments
This number includes all calls, except Service Patrol calls, with an existing Appointment or ETA in the future.
*Note – Service Patrol Calls are not counted for this snapshot report due to the differences in the way Service Patrol calls are handled by our customers.
