What is a driver record in TOPS?

A driver record identifies a driver in TOPS so they can be assigned to and work calls. Every driver who works calls in TOPS needs a driver record.

A driver record is linked to an employee record. Create the employee record first, then create the driver record.

What do I need before creating a driver?

  • An employee record: the driver must already have an employee record in TOPS.

  • A User ID on that employee record: this is required, and it is how the driver connects to the TOPS Driver mobile app.

How do I create a new driver in TOPS?

  1. Open the Driver screen in TOPS.

  2. Select the employee from the Employee dropdown list.

  3. Enter a Driver Number. You can use numbers, letters, or both.

  4. If the driver usually drives the same truck, select it in Default Truck.

  5. Enter Commission Rate 1 and Commission Rate 2 as percentages. If your company does not pay commissions, enter 0 in both fields.

  6. Complete any other required fields. Required fields are highlighted in red.

  7. Save the driver record.

What does each field on the driver record mean?

  • Employee: links the driver record to the driver's employee record. This field is required.

  • Driver Number: a unique identifier for the driver. It can be numeric or alphanumeric.

  • Default Truck: the truck the driver normally uses. This field is optional.

  • Duty Status: the driver's current working status. The driver can update it in the TOPS Driver mobile app, or dispatch staff can update it in TOPS.

  • Commission Rate 1: the driver's primary commission percentage. Enter 0 if commissions are not paid.

  • Commission Rate 2: the driver's secondary commission percentage. Enter 0 if commissions are not paid.

  • User Defined Field 1 and User Defined Field 2: fields your company can name and use for its own needs.

How do I set up driver commissions?

Enter the driver's commission percentages in Commission Rate 1 (primary) and Commission Rate 2 (secondary) on the driver record. If your company does not pay driver commissions, set both rates to 0.

Who can change a driver's duty status?

The driver can change their own duty status in the TOPS Driver mobile app. Dispatch staff can also change a driver's duty status in TOPS.

Can I rename the User Defined Fields on the driver record?

Yes. A manager can rename User Defined Field 1 and User Defined Field 2 in TOPS Company Settings in the My Account portal. Once renamed, the new labels show on the driver record.

Which fields are required on the driver record?

Required fields are highlighted in red on the Driver screen. At minimum, you must select an Employee and enter a Driver Number.
